Privacy Policy

Last updated: 22 October 2026

1. Who we are

This Privacy Policy explains how ZyroBit Digital ("ZyroBit", "we", "us" or "our"), a web design, development and e-commerce studio based in Johannesburg, South Africa, collects, uses, stores, shares and protects personal information in connection with zyrobit.co.za (the "Site") and our services.

For the purposes of South Africa's Protection of Personal Information Act 4 of 2013 ("POPIA"), ZyroBit Digital is the "responsible party" for personal information processed through the Site. You can reach us at info@zyrobit.co.za.

2. Information we collect

We collect the following categories of personal information:

  • Information you give us directly: your name, email address and the content of any message you send through our contact form or by email, phone or WhatsApp.
  • Project and billing information: if you become a client, information reasonably needed to deliver and invoice a project (e.g. company name, billing contact, project requirements).
  • Automatically collected information: standard technical data generated by visiting the Site, such as IP address, browser type, device type, pages viewed and referring page, typically captured in ordinary web server logs.
  • Cookies and similar technologies: see our Cookie Policy for details of the cookies the Site uses.

We do not knowingly collect personal information from children under 18 without the consent of a parent or guardian, and the Site is not directed at children.

3. How and why we use your information

We process personal information for the following purposes, on the legal bases indicated:

  • Responding to enquiries and quote requests (based on your consent in submitting the form, and to take steps towards a contract at your request).
  • Providing, managing and invoicing our services to clients (performance of a contract, and compliance with legal obligations such as tax and accounting record-keeping).
  • Operating and securing the Site, including diagnosing technical issues (our legitimate interest in keeping the Site functional and secure).
  • Complying with legal obligations, such as responding to a lawful request from a regulator or court.

We do not sell personal information, and we do not use your information for automated decision-making that produces legal or similarly significant effects.

4. Sharing your information

We do not sell or rent personal information. We may share personal information with:

  • Service providers who help us run the Site or deliver services on our behalf, such as our email provider and hosting/infrastructure provider, under obligations of confidentiality.
  • Third-party content providers whose resources the Site loads directly in your browser, including Google Fonts, Cloudflare's cdnjs (for Font Awesome and Animate.css) and unpkg (for the Lucide icon set). Because these are loaded directly, those providers may receive standard web request data (such as your IP address) as an ordinary part of delivering that resource — see our Cookie Policy.
  • Professional advisers and authorities where required to comply with the law, enforce our rights, or protect the rights, property or safety of ZyroBit, our clients or others.

Some of these providers may process information on servers located outside South Africa. Where that happens, we take reasonable steps to ensure the recipient is subject to a comparable level of data protection, as required by section 72 of POPIA.

5. How long we keep your information

We keep personal information only for as long as reasonably necessary for the purpose it was collected for, including to satisfy any legal, accounting or reporting requirements (for example, invoices and related records are generally kept for the period required by South African tax law). Contact form enquiries that don't turn into a project are generally deleted once they're no longer needed for that enquiry.

6. Security

We use reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access, including serving the Site over HTTPS and restricting access to systems that store personal information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your rights under POPIA

Subject to POPIA, you have the right to:

  • be notified that we hold personal information about you;
  • request access to the personal information we hold about you;
  • request that we correct or update inaccurate, incomplete or outdated personal information;
  • request that we delete or destroy personal information we no longer have a lawful basis to retain;
  • object to the processing of your personal information in certain circumstances;
  • withdraw any consent you've given, at any time, without affecting processing already carried out; and
  • lodge a complaint with the Information Regulator (South Africa) if you believe we have processed your personal information unlawfully.

To exercise any of these rights, contact us at info@zyrobit.co.za. You can contact the Information Regulator at inforegulator.org.za.

8. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our practices or for legal, operational or regulatory reasons. The "Last updated" date above shows when it was last revised. Significant changes will be reflected on this page.

9. Contact us

Questions about this Privacy Policy or how we handle your personal information can be sent to info@zyrobit.co.za or via our Contact page.

This policy is a general-purpose template prepared for a small South African web studio and is not a substitute for independent legal advice tailored to your specific circumstances.
